SUMMARY:

This Position requires an individual to accurately process new hires and maintain proper human resource records utilizing complex software, in accordance with State and Federal Laws and District Policies and Procedures.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:      Additional duties may be assigned.

  • Effectively utilizes district technologies appropriate to the position and assumes responsibility for attending district training needed to successfully perform designated responsibilities as directed by supervisor.
  • Creates and edits human resources computer records to ensure accuracy of individual information.
  • May work with Position Control Inventory as assigned.
  • Interfaces Time America Timekeeping Records as necessary to performance of job duties.
  • Verifies accuracy of employee information on human resources computer system.
  • Processes new hire paperwork and personnel changes, inputting employee information into the human resources computer system, to enter information accurately on each employee.  Notifies hiring supervisor of any discrepancies with the request or incomplete paperwork.  Distributes paperwork to appropriate area and/or department.
  • Accurately processes all terminations, resignations, job abandonment, retirement and long-term leaves, coordinating with supervisor as necessary.
  • Maintains excellent customer service with all applicants, members of the public, and all District employees.
  • Coordinates new hires and personnel changes with payroll department and MIS department and any other District units that need human resources information.
  • Prepares information on new hires and personnel changes for Governing Board approval.
  • Processes background checks and fingerprints on all new hires and maintains centralized log of each background request, including dates requested and received.
  • Processes all personnel action documents (PAR’s), distributing copies to personnel files and appropriate areas and/or department.
  • Assists supervisor in preparation of school district SDER report to the Arizona Department of Education and any other required reports for county and state agencies.
  • Assists supervisor in preparation of perfect attendance awards.
  • Assists supervisor in compilation of retirees at the end of the school year.
  • May use substitute teacher system to replace absent teachers.
  • May act as back-up to Sub Caller.
  • Prepares and collects employee contracts.
  • Maintains orderly and updated personnel records in paper files with assistance of other human resources staff.
  • Communicates necessary information to enable all staff members of Human Resources to perform their duties
  • Assists supervisor in recruitment of applicants for district positions, prepares recruitment material and schedules recruitment appointments, job fairs and other opportunities for recruitment.
  • Tests applicants - if applicable based on the position applied for.
  • Attends and participates in staff meetings with the goal of continuous improvement of the human resources department.
  • Interprets District policy when processing all employee paperwork and when answering employee requests.
  • Interprets and explains questions arising from employees about human resources’ functions and helps employees understand their rights and responsibilities as employees of the district.
  • Produces accurate reports from the human resources computer system.
  • Provides backup coverage for the Receptionist when needed.
  • Obtains information necessary to answer requests for employment verification, unemployment insurance and other government requests.
  • Performs other duties as assigned.

QUALIFICATIONS REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:

  • A High School diploma or equivalent is required.
  • One year experience in human resources, including interface with a personnel-based computer system  (directly  related business school or college courses may be substituted equally for up to six (6) months experience);  OR
  • Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities to perform the function of a Human Resources Technician.

 

LANGUAGE SKILLS:

  • Ability to write reports, business correspondence, etc.
  • Ability to effectively present information and respond to questions from administrators, staff and the general public.

 

KNOWLEDGE, SKILLS AND ABILITIES:

  • Ability to interface effectively with other departments, school personnel, other maintenance staff, and business contacts from outside of the District.
  • Utilizes business English, punctuation, grammar and spelling.
  • Ability to code, classify, record, retrieve and verify routine human resources information.
  • Knowledge of department organization, methods, standards and practices and standard business practices/methods and procedures.
  • Ability to maintain accurate records.
  • Ability to understand Arizona Department of Education requirements.
  • Ability to understand No Child Left Behind Act.
  • Ability to apply human resource management practices.
  • Ability to give excellent customer service without injecting personal feelings.
  • Ability to use complex computer software programs.
  • Ability to work independently with minimum supervision.
  • Ability to understand and carry out complex oral and written instructions.
  • Ability to communicate effectively, orally and in writing.
  • Can prioritize multiple tasks, work under stress, meet deadlines and take direction.
  • Can work with frequent interruptions.
  • Establishes and maintains effective working relationships with administrator and co-workers.
  • Ability to perform general operations which require the exercise of judgment.
  • Ability to perform duties with awareness of all district requirements and Governing Board Policies.

REASONING ABILITY:

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

While performing the duties of this job, the employee is frequently required to stand and talk or hear and sometimes walk and sit.  The employee must use hands, arms and fingers to input data, handle, feel or reach.  While performing the duties of this job, the employee may occasionally push or lift up to 50 lbs. such as boxes, supplies, etc.  Specific vision abilities required by this job include close vision such as to read handwritten or typed material, and the ability to adjust focus, close vision, distance vision, color vision, peripheral vision and depth perception.

The noise level in the work environment is moderate to loud.

This position is a grade 11 on the Support Staff Salary Schedule.

Schedule: Full-time, 12 month position. Monday through Friday, 8:00 am to 5:00 pm.
