Salary placement range: $60,634.00 to $69,296.00 per SY (grade 121)

 

Every part of the Phoenix #1 2025 Strategic Plan and Equity Plan runs through the Office of the Superintendent and the Governing Board, so it is imperative that a high-quality administrative assistant attend to the administrative duties of both the Superintendent as well as the Governing Board. The Executive Assistant to the Superintendent provides support and customer service of the highest quality in order to ensure the smooth and efficient operation of the Office of the Superintendent and the Governing Board. This role manages and distributes a great deal of information on a daily basis while also performing Governing Board secretary duties, including organizing, attending, and creating minutes for all Governing Board meetings.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manages and produces business correspondence on behalf of the Office of the Superintendent and Governing Board.
  • Manages all communications within the Office of the Superintendent and Governing Board. ? Manages calendars and appointments for the Superintendent and Governing Board.
  • Represents the Office of the Superintendent and Governing Board as directed in giving assignments, requests, or information to subordinates.
  • Maintains the Governing Board meeting schedule with proper notifications as required by law.
  • Manages all meetings of the Governing Board with direction from the Superintendent, including preparing agendas and materials, attending all meetings, and generating minutes of meetings as required.
  • Supervises the distribution of materials to the public, media, and district personnel; posts notices in a timely fashion.
  • Prepares and distributes updates to the Governing Board on behalf of the Office of the Superintendent and other departments.
  • Supervises maintenance of official records of The Office of the Superintendent and Governing Board as required by law.
  • Makes travel arrangements and hotel accommodations for Superintendent and Governing Board members as directed.
  • Processes requisitions and purchase orders as necessary for the Superintendent and Governing Board.
  • Maintains Governing Board Policy Manual, and ensures Superintendent is aware of required updates and revisions.
  • Supervises the maintenance of the District Policy Manual online with ASBA website.
  • Maintains office supplies and orders when needed.
  • Performs other related duties as assigned.

MINIMUM EDUCATION AND/OR EXPERIENCE:

  • High School diploma or GED
  • Two years of experience in Microsoft applications environments

PREFERRED EDUCATION AND/OR EXPERIENCE:

  • Certified Administrative Professional or Professional Administrative Certificate of Excellence
  • Associate degree or equivalent
  • Five years of experience in executive administrative management
  • Fluent in Spanish, written and verbal

KNOWLEDGE, SKILLS, AND ABILITIES:

 

Knowledge of:

  • Arizona Revised Statutes related to school law, District policies, procedures, programs, and organizational structure

Skilled in:

  • Providing exemplary customer service and maintaining a high-quality, professional office environment
  • Communicating with a variety of audiences, including staff, partners, vendors, media, attorneys, and the community at large

Ability to:

  • Attend evening meetings that are held outside of regular business hours
  • Maintain confidentiality and display unquestionable integrity
